Streamlining membership renewals in LGL

In this LGL Pro Tip, learn how to streamline your membership renewals using Little Green Light.

If your organization runs a membership program, the renewal reminders you send can be a key touchpoint for re-engaging and retaining your supporters.

You can create a powerful workflow using features available in Little Green Light to streamline that process, ensuring that you are connecting with expiring members in a timely manner.

Use recurring tasks in LGL:

Membership renewals should be factored into your organization’s communication plan to avoid overlap with other communications such as newsletters, event invitations, or appeal requests. Once you designate a certain day or week each month for renewals, you can make use of Little Green Light’s Tasks feature to set up a recurring task for these communications. You will receive notifications on a recurring schedule when the task is due so that your renewals do not slip through the cracks during even the busiest times of the year.

Take advantage of saved searches:

Searching by date in Little Green Light makes it simple to locate constituents whose memberships are about to expire or have expired during a specific range of time. With the option to search using a relative date range, you can set up saved searches to build your renewal lists with just a couple of clicks. For example, if you set up a saved search that looks for constituents with membership end dates using the “last month rel.” option, every time you run the search the results will include constituents whose memberships expired last month (relative to the month when the search is run). You can then pull your search results directly into a mailing by choosing the “Send mail” or “Create email” option.

Create reusable mail and email templates:

You do not need to create your renewal reminders from scratch every time you send them. Little Green Light allows you to create both letter and email templates with LGL merge fields that will insert unique data about each constituent included in your mailing. Using the LGL merge fields that pull information from a constituent’s most recent membership record such as the end date, membership level, and membership note lends a personal touch and provides your members with information they may need ahead of their renewal.

Conclusion

Reminding your members that it’s time to renew is an important stewardship task, but it does not need to take all day. By setting up recurring tasks, saved searches, and templates, your membership renewal workflow can be completed in a matter of minutes.
